Your access to IT facilities will be based on your role/status in the Department.
People who wish to obtain an account or extend an existing account need to ensure that they hold the correct status in the Department by contacting the appropriate office. Students should contact the relevant offices directly, any other type of member should first contact an administrator to ensure that the relevant paperwork has been submitted.
Please see the following table for guidance on who to contact:
|Expected Status||Office to contact||Notes/Further guidance|
|Staff (Academic, Academic-related & Assistant inc. TES)||HR Office|
|Staff (Research inc. TES)||Research Office|
|Postgraduates||Graduate Studies Office||Postgraduates must also be current in CamSIS. Students who have been removed from the register are not automatically eligible for either Engineering or UIS accounts.|
|Visitors||Research Office||See https://www.researchandfinance.eng.cam.ac.uk/research-staff-visitors/visitors-embedded-researchers for details|
|Embedded Researchers||Research Office||See https://www.researchandfinance.eng.cam.ac.uk/research-staff-visitors/visitors-embedded-researchers for details|
|Collaborators||Collaborator team||Application must be made by a staff member: see https://www.researchandfinance.eng.cam.ac.uk/research-staff-visitors/collaborators for details|
|UROP Placements||Placements Administrator|
|Student-run project students||Dyson Centre Manager|
Engineering Department IT accounts will normally be closed 1-2 months after status with the Department has ended. A warning notice informing this will normally be sent 2-4 weeks before the closure date.
If extra time is needed to tidy up accounts or to arrange a move to a new role then it may be possible to arrange a one-off extension of 1-2 months via the IT Helpdesk. If the individual is leaving the University as well as Engineering they must also obtain an extension of UIS accounts via https://help.uis.cam.ac.uk/request/extension – it is not possible to extend Engineering accounts if UIS accounts are closed. Extension beyond this is only possible if the appropriate paperwork is processed by the relevant administrative office.
After extension, access to IT facilities should continue seamlessly. Please note that certain IT facilities are restricted by status so may no longer be available, these include software licences and externally provided services.
If an individual changes from one status to another (for example from a student to a staff member), this should automatically be dealt with aside from a few caveats:
- Users arriving early to do a PhD who start as visitor or staff member, need to re-register as a PhD student
- Users changing from undergraduate/taught MPhil to PhD student need to re-register.
- Users on a CDT course, who have successfully completed their MRes degree, and are continuing to do a PhD at Engineering need to re-register.
- If there is a gap of more than 30 days between statuses, access to some services could be affected.
