Institutional File Store (IFS) is a service for storage and sharing of everyday documents with colleagues. It is aimed at desktop and laptop users who will have access to files via a mapped drive on their computer. IFS is a centrally hosted UIS service which is managed and deployed by Institutional IT staff.
UIS provided service with data physically located in the University’s central data centres
Users are able to restore previous versions of files
Backups
Can be accessed remotely via VPN
Chargeable (per TB per year)
Cannot be accessed by external collaborators
How to get access
Each user is allocated 50GB of personal storage on IFS. To get access to IFS or to request additional shared storage please contact the Department’s IT Helpdesk.
Requesting additional storage
Requests for the purchase of additional IFS shared group storage need to be submitted to the Department’s IT Helpdesk
The information required is:
- Project name (IFS folder name)
- Funding source (Job number / Grant details)
- File storage size (Minimum 1TB, expandable in 1TB increments if required)
- Academic / member of staff responsible for the project (Name and CRSid)
Please note:
- All purchases of IFS storage must be for a minimum of 3 years at a cost of £150 per TB per annum, total chargeable cost for 1TB is £450
- A pro-rata cost will be applied for year one if this is outside the financial year period
- IFS storage renewal charges will take place in July of each year
- If at any point funding is not received to cover the cost of the IFS storage the allocated storage would be at risk of deletion and loss of data
Removal of additional storage
If IFS storage has been purchased but it is no longer required it is the end user’s responsibility to submit a request to the Department’s IT Helpdesk confirming:
- Project name (IFS folder name)
- The project should not be renewed in July
- The poject should be deleted
Please note:
- Renewal charges will be applicable unless removal/deletion have been requested
- It is the end users responsibility to remove all data from the IFS storage project folder in order for that storage allocation to be removed from the Engineering Department account
